Org. Setting and Reporting
The Department of Safety and Security (UNDSS) is responsible for providing leadership, operational support and oversight of the United Nations security management system(UNSMS) globally. As a global leader in security risk management principles, UNDSS enables the safe and effective delivery of United Nations programmes and activities in the most complex and challenging environments, while maximizing precious resources. To this end, the work of the Department is aligned under a clear mission to enable United Nations system programme activities through trusted security leadership and solutions. These positions are located in the Pass and ID Unit (PIDU), Security and Safety Service (SSS) of the UNHQ. The Administrative Assistants reports to the Security Lieutenant in charge of the PIDU. Responsibilities
Within delegated authority, the Administrative Assistants will be responsible for the following duties: 1. Assist the Security Lieutenant in the supervision of GS-4 badging operators and Individual Contractors by: a. Overseeing all aspects of the badging operations to ensure the smooth and efficient flow of information and documentation within the Unit; confidentiality of the badging operations; efficiency and accuracy of the ouptput of the badging operators by conducting quality control and audit of the badging processes, guidance and instructions to junior staff. b. Instructing operators on procedures and providing troubleshooting for hardware utilized in the CCURE smart card system and providing on-the-job training and guidance to new badging operators. c. Solving badging operation problems and advising operators on the appropriate nomenclature, as per UN standards. d. Provide on-the-job training to new operators and continuous guidance to all badging operators. 2. Coordinating with the Security Lieutenant the development and updating of Standard Operating Procedures and designing of badging databases by conducting research, compiling and summarizing background information and materials, to reflect changes/upgrades in technology and/or necessary changes in procedures, and also to identify design flaws in the system and provide solutions for developing/maintaining a more efficient ID production process. 3. Maintaining critical databases of the Pass & ID Unit by: a. Managing and updating critical databases in the Unit and generating a variety of standard and non-standard statistical and other reports for managerial and operational use and liaising with Executive Offices and other United Nations offices to ensure that proper and accurate updates are submitted regularly so as to keep the databases current. 4. Providing back-up support for the Administrative Functions of the Unit by: a. Performing independently a variety of administrative duties such as attendance recording, statistical reporting and supply requisitions, as well as supervision of the production of temporary ID cards and special event passes, including preparing and/or processing administrative requests/documents (e.g., travel requests, expense claims, vouchers, visa applications, etc.). 5. Performs other duties as assigned.

Work Experience
A minimum of five years of experience in the field of general administration, office support, or related area is required. The minimum years of relevant experience is reduced to three years for candidates who possess a first-level university degree or higher. Experience working with MS Office (Excel, Word, Powerpoint, etc.) is required. Experience with practical application of relevant grounds pass request procedures within the United Nations or other international organization is desirable. Experience with operating CCURE 9000 or comparable badging system is desirable.

Languages
English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required. Knowledge of another official United Nations language is an advantage. Note: Fluency equals a rating of "fluent" in all four areas (speak, read, write and understand). Knowledge of equals a rating of "confident" or "fluent" in at least two of the four areas.
